How to transcribe audio or video

  1. Add your recording

Drag a file onto Upload file, paste a YouTube or media link under Import link, or start a live session.

  2. Pick language and speakers

Leave language on auto-detect or choose it yourself. Turn on speaker detection if more than one person talks.

  3. Review and export

Read the transcript with timestamps, edit it, ask for a summary, then copy it or download TXT, SRT or VTT.

What makes a good transcript

A transcript is only useful if you can trust it, find things in it and reuse it. That is why HeyScribe keeps the timestamps and speaker labels attached to the text, lets you edit anything you spot, and keeps every transcript in a searchable library with favorites and folders.

AI transcription is fast and gets most of it right, but no automatic system is perfect. For anything you will publish or rely on, such as quotes, legal or medical material, skim the transcript against the audio. The timestamps make that quick.

Get a better transcript from the same recording

  • Start with the best audio you can. A clean recording is the biggest accuracy boost, much more than any setting.
  • Set the language if you know it. Auto-detect is convenient, but choosing it removes guesswork for short or mixed clips.
  • Turn on speaker detection for conversations. Leave it off for a single speaker.
  • Use the summary for the first read. Then dip into the transcript for the details.

Not just English

File transcription supports 90+ languages, so you can transcribe an interview in Spanish, a lecture in Hindi or a podcast in Japanese. See AI transcription for how the technology works, or speech to text for the basics.

Frequently asked questions

How do I transcribe an audio or video file?
Sign in to HeyScribe, choose Upload file, and drop in your recording. Pick a language or leave it on auto-detect, choose whether to detect speakers, and press Transcribe file. Short files usually finish in a minute or two.
How long does transcription take?
It depends on the length of the recording, but files typically finish in a small fraction of the recording time. Longer files keep processing in the background, and the finished transcript appears in your library.
Can HeyScribe label different speakers?
Yes. Turn on Speaker detection before you transcribe a file or link, and each speaker gets a label such as Speaker A and Speaker B. You can see labels in the transcript and in exported text.
What file types can I upload?
MP3, MP4, WAV, M4A and MOV are supported. Other common formats often work too. If a file will not upload, convert it to MP3 or MP4 and try again.
Is there a free plan?
Yes. The free plan includes 20 minutes in total for voice typing, live transcription and file uploads, with no credit card needed. Importing links, including YouTube, is part of the paid Pro plan.
Can I get subtitles for my video?
Yes. After transcribing, choose Download and pick SRT or VTT. Both formats work with most video editors, players and video platforms.
Can HeyScribe translate a transcript?
Yes, on a paid plan. Open a transcript, choose Translate, and pick from more than 40 languages. You see the cost first: 1,000 characters cost 1 credit, and a credit is one minute of your plan. The translation keeps the timestamps and speaker labels, and you can download it as TXT, SRT or VTT.
