Getting started
How do I start?
Create a free account, then pick a tab: Voice typing to write by voice, Live transcription for conversations, Upload file for recordings, or Import link for YouTube and media URLs.
Which browsers and devices work?
Current Chrome, Edge, Safari and Firefox on desktop, and most modern mobile browsers. Capturing audio from a browser tab (for online meetings) works in desktop Chrome and Edge.
Can I install HeyScribe as an app?
Yes. In Chrome or Edge, use the install icon in the address bar. On iPhone, use Share → Add to Home Screen.
Microphone and live speech
How does the free recorder work?
The free recorder records audio or video in your browser. Record only needs no account (up to 5 minutes at a time when signed out; free accounts get 100 minutes a month, paid plans are unlimited), and you can download the file either way. Sign in to add a live transcript. The recording is never stored by us, so download it before you close the page.
My microphone is not working. What should I check?
Make sure you clicked Allow when your browser asked for the microphone. If you blocked it, click the lock or tune icon next to the address bar, set Microphone to Allow, and reload. Then check the microphone menu in HeyScribe, make sure no other app is using the microphone, and try a headset.
Why is the text wrong or missing words?
Check that the language menu matches what you are speaking, move closer to the microphone, and reduce background noise. Names and technical terms are the words most likely to need a quick edit.
Can I transcribe an online meeting?
In desktop Chrome or Edge, open Live transcription, choose Browser tab as the audio source, select the meeting tab and turn on Share tab audio. Let participants know you are transcribing.
The connection dropped during a live session. Did I lose my transcript?
No. HeyScribe tries to reconnect automatically, and the transcript is saved to your library as the session runs.
Files and links
My file will not upload or transcribe.
Use an MP3, MP4, WAV, M4A or MOV file. If it still fails, convert it to MP3 or MP4 and try again, and check that your connection is stable for large files.
Why is Import link locked?
Importing links, including YouTube, is part of the paid Pro plan. On the Free plan you can download the file and use Upload file, or use live transcription and voice typing.
My link says it is not supported.
The link has to be public, with no sign-in, and should point to a YouTube video or directly to an audio or video file. Private, members-only and DRM-protected content cannot be transcribed. As a fallback, download the file and use Upload file.
How long does a transcript take?
Usually a small fraction of the recording length. Long files can take several minutes and keep processing in the background.
How do I get subtitles?
Open the transcript, choose Download, and pick SRT or VTT.
Minutes, plans and billing
How many minutes does the Free plan include?
20 minutes in total, used across voice typing, live transcription and file transcription. It is a one-time allowance and does not renew each month. Voice typing and live sessions count the time they spend listening, and files count their length. The sidebar shows how many you have used. Paid plans include a monthly allowance.
I upgraded but I am still on the Free plan.
Plan changes can take a few minutes. If you are still on Free after 20 minutes, check that you used the same email address as your HeyScribe account at checkout. If you paid with a different email, the plan is linked to that one. Email contact@aiworksuite.com and we will sort it out.
How do I cancel?
Open Account settings in the app and choose Manage billing, or email us. You keep your paid features until the end of the billing period.
What is your refund policy?
You can try the Free plan before you buy, so payments are generally non-refundable. If you ask within 14 days of purchase and have not used the plan’s minutes, we will refund you. Email contact@aiworksuite.com from your account email. See the Terms.
Privacy and your data
Where are my transcripts stored?
In your browser by default, so they never leave it unless you choose to back them up. Without backup they are not available on another device and are lost if you clear your browser data, so download anything you want to keep long term.
How does translation work, and what does it cost?
Translation is a Pro feature. Open a transcript and choose Translate, or use Translate under the text in voice typing. Pick a language and you see the cost before anything is charged: 1,000 characters cost 1 credit, rounded up to 0.1 credit, and a credit is the same as one minute of your plan. A 5,000-character transcript costs about 5 credits. Translations are saved with the transcript, so you only pay once per language. AI translation is good but not perfect, so review anything important.
How do I back up or sync my transcripts?
Cloud backup and sync is an optional feature of paid plans. Open Account settings in the app, choose Turn on backup and sync and confirm. Your transcripts' text, titles and summaries are then saved to your private account and appear on any device where you turn it on. Audio and video are never saved. You can turn it off, and delete the cloud copy, at any time.
How do I delete my data?
Open Account settings and choose Delete local data to remove transcripts and settings from this browser. To delete your account, email contact@aiworksuite.com from your account address. See the privacy policy.
Is my audio used to train AI?
No. We do not use your content to train AI models. See the privacy policy for the providers that process audio and text to produce your results.
